Other Business
Stuart Wade, the Athletic Union’s sport development manager was at the meeting and informed those of us at the meeting what the changes that would be happening to the University of Liverpool’s sport scene.
In summary:
-
3 more full time staff are to be appointed, in addition to Stuart, to help manage the AU.
-
The University of Liverpool wants to improve its sports in comparison to other universities, and will assess the improvement based on BUSA points
-
The University of Liverpool will select a handful of focus sports, which will receive additional investment
-
A scholarship scheme will be set up to encourage those that excel at sports to come to our university. The money (between £1000-2000) will go towards enhancing their sport through the buying of equipment etc.
-
The fees to join the AU and a sports club will now combine, so there is only one cost to pay. This cost will be £25 for a student of the university, of which the club will receive £15.
-
Each club must fill in a Club Development Form to further assess the needs of the club
-
Each club must be open with non-Liverpool University with regards to entering competitions (such as BUSA) and that ultimately students at the University of Liverpool will take priority over non-students (for example, pool overcrowding).
Please don’t forget to attend the committee meeting this Thursday, 22nd March.

Main issues:
Present: Cath, Moley, Rosie, Kaylia, Tony, Andy, Martin, Vanny, Laura G, Naomi, Laura M, Jimbob, Helen
Apologies: Rob
BUSA Slalom
9-11th February
Although all applications are in there are still a few problems to be worked out. The two main problems are drivers and accommodation. Steve has kindly volunteered to drive, although this will mean he has to get a permit from the Guild. There are currently 11 people going, and accommodation is in the process of being sorted out. Suggestions such as the F1 travel lodge on Teeside were given. Laura mentioned there was a possibility that the team could stay at her house although Kaylia and Vanny are going to ring round possible places from Monday. Martin and Andy are in charge of deciding on the appropriate boats to use.
Refreshers Fair
Monday 12th February 10am-4pm, Mountford Hall
This will be a static stall, so get there when you can to help out. Vanny has agreed to be in charge of this event.
Polo
BUSA Polo- 20-22nd April
Applications forms are out from 29/01/2007. The deadline for the application forms is the 9th of March.
Christie Cup (possibly 14th March)
Andy has emailed Leeds Uni Canoe Club, who are in charge of the event, for more information, but has had no response.
FOA Affiliation
The club have decided to renew their affiliation with Friends of Allonby, at a cost of £30 for the year
Equipment
Paddles have been ordered, and should arrive within 1-2 weeks, hopefully in time for the slalom.
Helmets and BAs have not been ordered yet, as we are waiting for the supplier, Robin Hood Watersports, to come back with a quote.
Polo goals should be coming our way in the near future, at no cost to the club. Stuart Wade is to be sorting out the cost, providing we come up with a quote. Vanny is to find out an appropriate quote to make two goals which conform to polo regulations.
Advertising
Andy has suggested increasing the publicity of the canoe club by talking to the guy that does the video editing for the courtyard in the Guild. He will confirm that the use of footage is ok by Dave C and the Guild.
Social
The theme for the next AU night will be cupids.
The date for the annual meal will be on the 23rd March.

Freshers Fair
With an 11am start on Sunday and a 10am start on Monday, a maximum of two people are required on the stall. Others are welcome to come along, hand out flyers, and talk to freshers about the canoe club. Flyers and membership forms will be printed by Vanny, and an electronic version should be up on the website soon. A TV, a projector, 2 laptops, and a printer are to be brought to the fair. Laura M and Laura G are making cookies for the event. Unfortunately, it has not been possible to obtain use of the pool for the fair as the sports staff has allocated that time for the pool to be available to all Sports Hall members. The fair will take place in the Sports Hall on Sunday and at Mountford Hall on the Monday. Check the website for further details. (www.lucc.info)
BCU Symposium
British Canoe Union Safety and Good Practice Seminar Plas-y-Brenin 14th and 15th October 2006 (more details on the website)
So far, Vanny and Laura G have confirmed that they will be going, and Cath has expressed a strong desire to go although was unable to confirm as was not able to attend the meeting. Although the trip is for the benefit of the individual, the club will also hope to benefit from the trip. Therefore, it has been agreed by those present at the committee that the cost of the fuel will be paid by the club and the cost of the seminar will be paid by the individuals.
Pool Sessions
The first pool session is to be organised by Si Lewis, and the second by Will. For the first session, Moley and Jimbob have agreed to stand fully kitted out by the two entrances to the sports hall to direct newcomers. The pool sessions 3, 4, 5 and 6 will see the addition a game or two of freshers polo in the last 30 minutes. The possibility of having an additional Friday pool session is yet to be confirmed by Vanny.
Polo
It has been agreed by those present at the committee that there is to be a women’s and an open team this year. There appears to have been problems over the past year with the pool staff denying Mike Moffat entry to the pool, even though he is a registered coach with the AU. Vanny is to speak to Pete Sampara from the AU about this to make sure this problem doesn’t happen again. The problems with the polo goals in the pool will be discussed at the next committee meeting when our financial position is a little clearer.
Membership
Our club will continue signing up members in the usual way (Fresher’s Fair and AJs). Club members, both students and non-students will now be required to gain an Athletic Union (AU) membership card before filling in a Canoe Club membership form. Currently the cost for AU membership is £14 for students and £20 for non students. It is possible to buy AU membership at The Base (formerly STA travel, ground floor of the Guild) or to pay for AU membership directly through the club. The cost for joining the club remains at £15 for the year and £10 for those joining after refreshers fair.
Finance Grant
The grant received this year from the AU is £1000, the same as last year.
Sponsorship
Currently, the sponsorship letter and a list of names, addresses and telephone numbers of (mostly local) businesses have been written up. Over the next couple of weeks, the letters should be posted, and the letter should be available on the website. If you have any connections with businesses that you feel may benefit from sponsorship please do not hesitate to get in touch with either Laura Gould (fallingspiral@hotmail.com) or Vanny (vannystick@bxproject.co.uk)
External Lectures
Rachael has been looking into the possibility of bringing some professional canoeists in to give a few talks. Those present at the committee agreed that this was a good idea, benefiting club members and people interested in kayaking in the local community as well as raising the club profile. The club will be committed to host a series of three talks, taking place on Wed 24th January, Wednesday 14th February, and Wednesday 7th March. The first speaker is Alan Ellard. There is a potential for around a £400 loss (£100 per speaker, money for a meal for each speaker before the talk and cost of refreshments). At £5(3) a head, it was agreed the potential for this loss is very small, as there appears to be a lot of interest in the talk. Advertising through canoe centres, other clubs and at other talks will hopefully generate interest. Sponsorship to help pay for the talks is being looked into. It was thought at the meeting that it may be an idea to advertise what we will be allocating the money towards (e.g. a boat).
Equipment
Cath has reported a crack in the H2 and should not be used for any higher than grade III water, even when fixed. The H3 is reported lost, as is the yellow creek boat. As far as boats in this genre, we are now left with the spud and the microbat 240. When more boats are purchased by the club, this will be in mind.
We currently have 3 lost/broken paddles. These obviously need to be replaced at some stage. As there is only one usable left-handed paddle, it was suggested that when paddles are bought, a few 90 degree paddles should be bought.
Buoyancy Aids for river trips, although tested every year, are generally suffering from wear and tear. The committee decided that BAs more suited to white water rescue should be left to the purchase of the individual, rather than the club, as inexperienced paddlers may find them more of a hindrance than a help. The committee members also recognised a need for a greater number of small BAs to better fit some of the club’s smaller members. When our financial position is clearer, we will be able to determine whether or not it is financially feasible to buy more buoyancy aids.
Information on what to wear is on the website. Although some information is in progress, if you have anything to add, this would greatly appreciated. Email Vanny or Helen with your suggestions.
It was suggested that tuition should be given on how to choose the correct kit for members new to the club. This should ideally take place as a group session before the first couple of trips of the term, and therefore extra time should be allowed before setting off on a trip.
Private Sheds
Yet more club members have complained about the (lack of) security when signing out keys for the sheds. This includes being able to take the keys out without either showing any form of I.D or without signing them out. This is being looked into again. Please tell the club captain if you have any issues after signing keys out.
A position for the fire extinguishers is to be made in each shed. Please make yourself aware of the new position of the fire extinguishers when entering the shed.
The rack system in the private sheds is almost complete after work started this summer, with just the slalom boats and the paddle rack to complete.
Be aware that the light in the private sheds is currently always on. This is being looked into, and the electricians will be sorting the problem soon.
A club member has reported slight damage to their boat in the private sheds, possibly as a result of members standing on it. This is a reminder to all members that boats, club or private, are to be treated with respect.

FOA club affiliation- The cost of club affiliation with Friends of Allonby (FOA) for this year is to be looked into by Vanny. The decision to join for the next academic year will be discussed at the next committee meeting.
BCU star awards- It has been noted that there are changes to the star awards, particularly regarding qualifications in the ability to coach towards a level and qualifications to assess that level (star). It appears that much of the changes affect 3 stars and above.
Minibus- We currently are using the two minibuses used last year. It has been pointed out that we may, in the near future, have a problem with numbers of club members eligible to drive the minibus. In order to be able to apply to drive the minibus, you must be 21, have held your license for 2 years, and have a maximum of 3 points on your license. Let Vanny know if you are interested in applying for a minibus license. It may be possible to borrow the minibus for a few practice runs. So far, Kayleigh has expressed an interest.
Teifi Tour 2006- taking place 28th-29th October- Kayleigh is to look into the possibility of doing this.

Committee Meeting Minutes 01/06/2006
Main Issues
Committee Meeting Minutes
Present: Andy Kayleigh, Matt, Laura M, Jimbob, Rob, Tom, Martin, Naomi, Vanny, Laura G, Rosie Cath, Fran
Apologies: Alison, Helen, Matt W, Jamie, Kim, Moley
Missing: Lloyd
Finances
Currently we are £49 overdrawn. We should be receiving $80 from Google. The accounts may be zeroed at the start of the next university year. There is still the finance application to complete.
Boats in the Private Sheds
Work has started on improving the layout of the private sheds. Already, a lot of notice has been given to unclaimed boats (30/03/2006). If you do have a boat in the private sheds and have not already claimed it or are not a fully paid up member, you have until the 15th of June before the club takes action to remove the boat. Please look on www.lucc.info for information regarding how to claim your boats. A list of boats still unclaimed will be appearing shortly on the website. The fiberglass rotabat-looking boats, believed to be the clubs, will be traded for materials for the shed rebuilds. Matt has taken responsibility for the removal of unclaimed boats.
Equipment
It has been agreed that kit will now become numbered to help keep track of kit and for signing out purposes. It may not be possible to number decks, but the equipment officers, Rosie and Cath, have agreed to look into this.
There is a recognised need in the club for the purchase of larger helmets, although it appears that these are likely to be incompatible with faceguards. Future helmets requiring face guards that need to be bought will probably White Water helmets as cracking has appeared in other brand helmets that have required face guards.
AU Minibuses
Buses from TKS will now be available from the AU until December 2006. In order to gain a minibus permit from the Guild a member must be 21 years or older and have held a license for a minimum of two years. Vanny has arranged with Stuart Wade for licensing of those wishing to drive the minibus with trailer, Cath and Rosie have expressed interest however they need to fund there own medical in order to get a learner permit.
Polo
Andy has looked into the club entering Merseyside International on 24-25 June. Unfortunately, many people are away with our club in the Alps. As only 4 people expressed an interest, it was decided that we could not compete. It has also been noted that, generally, it has been harder to get teams together for the polo matches.
Pool Sessions
The possibility of extra pool sessions will be discussed at the next AU meeting. The club may end up with one hour extra session in the pool on Fridays.
There has also been discrepancy in the pool closing time. Staff have been asking us to finish at 21.30, while the pool contract is until 22.00 and advertised as 22.30. This matter is being looked into. Also, club members have complained about staff cleaning the changing rooms while people are still getting changed, which is possibly a health and safety risk.
Freshers’ Fair
2006’s Freshers’ Fair will take place on September 23-24 (note this is over the Saturday and the Sunday, not the Sunday and Monday). Rosie and Laura M have agreed to run our stand. It should include the big board, and a video of a recent club trip. We may be able to get permission to use the pool for demonstrations during the Fair.

Committee meeting, Wednesday 29th March 2006-03-31
Present: Vanny, Laura, Naomi, Martin, Rob, Kim, Lloyd, Andy, Tom, Laura G
Apologies: Jimbob, Moley, Matt Clarke, Matt Wray, Helen, Cath, Pete, Jen
Absent: Kaylia, Rosie, Alison
Private shed
During the committee meeting, it was agreed that:
-
UNCLAIMED BOATS WILL BE REMOVED FROM THE SHEDS, and most likely be put up for sale on online auction.
-
Up to one boat of each discipline (polo, slalom etc.) may be stored in the private sheds by each fully paid member
-
Boats must be used at least twice during a 6 month period unless there are extenuating circumstances (injury etc.) otherwise priority will be given to other members of the club.
-
If there are extenuating circumstances either the captain (Vanny), treasurer (Naomi) or secretary (Laura G) should be informed.
-
Unpaid members will be given last priority with regards to boat storage and run the risk of their boat being removed from the shed. It is their own responsibility to pay the membership fee (£15 for the whole year) to the secretary Laura Gould, who can be contacted at fallingspiral@hotmail.com
-
All boats should be clearly labelled with a name (contact number also advisable)
-
Please check the website www.lucc.info under the heading “private shed boats” to see if your boat is on there- to claim your boat contact Laura Mercer (L.M.Mercer@liv.ac.uk) or Laura Gould ( fallingspiral@hotmail.com)
-
A whiteboard will be put up in the private shed to monitor the owners and boats in (and out) of the sheds. Laura Mercer has kindly agreed to take responsibility for this
-
The shed is going to receive somewhat of a makeover in the summer. The current system for storing boats has resulted in the damage of some boats, especially carbon fibre boats. To solve this problem, a system in which most of the boats will be stored vertically was put forward and approved. Slalom boats that are too long to be stored vertically will be stored horizontally. To prevent any boats falling over and hurting someone it was advised that bungees be bought to secure boats stored vertically. For more information visit the topic redesign of the private sheds in the forum on www.lucc.info
Trailer shed
There are currently a number of tyres in the trailer shed which are of an incorrect size for the trailer and thus are of no use. It was suggested these tyres should be sold at online auction and the money raised used to buy correctly fitting tyres.
Club Shed
It was agreed that a full inventory (including a list with each item photographed) should be taken of all club kit post exam time. At the same time, it was thought appropriate to number all kit (e.g. polo balls) so it is easier to keep a proper track of all equipment.
It is the responsibility of all members of the club, particularly committee members, to ensure that the sheds remain tidy and in a usable state.
It was acknowledged that there is a rather limited space to hang wet kit and the addition of a clothes rail was suggested. Unfortunately, due to the presence of a rather large roof rack in the sheds, it was deemed not possible at the current time. However, if the roof rack can be moved onto the guild minibus, the addition of a clothes rail may then be possible.
Possible investments for this year
It was agreed that money should be given for the purchase of resin to the equipment officers, Cath and Rosie, to repair the carbon fibre polo boat.
The purchase of new polo goal for the pool is to be made a priority for the coming year. Currently there is a plastic one, but putting it up in the pool breaches several health and safety regulations. The new one would be easier to put up and possibly made of aluminium.
There is a possibility that the diving boards are going to be removed from the pool in the near future, this would obviously cause problems with hanging the goal at the far end, Vanny is to investigate what the situation is regarding the diving board.
It was agreed that the club should be able to represent the university in a range of disciplines with appropriate equipment. Therefore, the assessment of the need for and purchase of new or second hand slalom boats and possibly white water boats is being looked into by our slalom officer, Tom.
Equipment such as throw lines, carabineers, emergency group shelters and buoyancy aids with harnesses will also be made a priority for the club, these are also needed for many BCU training courses.
Current financial situation
We are approximately £28 overdrawn due to the over purchase of equipment in the previous year. The possibility of sponsorship for the club as a whole or different parts of the club (such as men’s polo team) is going to be looked over by Vanny, Laura, Naomi and Kim. If anyone in the club has any contacts that may be willing to sponsor us, please don’t hesitate to email us.
Health and Safety Issues
Several issues surround the first aid kit. The first issue is that it not taken on trips. Clearly, should there be any injuries on trips, we should be able to provide at least some immediate first aid. The second is the recommended content for first aid kit has changed. The updated version needs to be looked into. Kim is going to price up a new set of FA kits, and update the old ones to the current standards.
The idea of bringing a mobile phone whilst on the river was suggested. Along with this suggestion came the proposal to contact Orange or another phone network, to see if they would be willing to donate a (waterproof) phone to us.
The fire extinguisher located in the shed is another problem. First of all, there is only one fire extinguisher for the three sheds. Secondly, the fire extinguisher that we do have does not have a valid safety certificate. The priority lies with making the fire extinguisher currently owned is tested so that it is no longer out of date. We can then look into the possibility of the acquisition of more fire extinguishers. Vanny is to look into this through Estates, and also enquire about the sewage leak outside the sheds door and the addition of a light and power socket in the main sheds.
Availability of information
Newer members to the club have suggested that it might be a good idea to put up some posters relating to equipment in the sheds and on the web. From putting on kit in the correct order, to going through a checklist before you leave the sheds to make sure you have the correct kit, to what to use when (like which buoyancy aids). Lloyd and Andy have agreed to look into looking writing up information on polo kit.
When going on trips there needs to be a full breakdown of each person going on the trip, what equipment they are using, and whether there are any allergies or significant health related issues. The leaders of the trip should be informed of any member’s health related issue, and ideally all members on the trip should know too. However, it is recognised that there is a fair amount of sensitivity relating to these issues. If there are any problems with this proposal or any health related issues that the club is not informed of, please don’t hesitate to get in touch with one of the committee members.
Freshers Fair 06
The suggestion to raise the membership fee to a more competitive rate was rejected and will remain at £15. It was thought that a membership fee of £15 might encourage freshers to sign up at the fair using an electronic registration form. Freshers fair 06/07 is to be held exclusively over the weekend (and NOT on the Monday as previous years), the dates for this is September 23rd and 24th.
Security
Key list
All fully paid members who store a boat in the private shed will have access to the private shed key.
Access to the club and trailer shed will be limited to the captain, secretary, treasurers, polo officers, slalom officers and people who organise trips, any body else who feels they have a specific need to be on the list which directly benefits the club, need to apply to the committee for permission to be on the key list.
Additional sessions
Wednesday afternoon polo sessions by the docks are currently being looked into by the polo officers Andy and Lloyd.
The possibility of regaining the Friday pool sessions will be looked into.
Can you help?
We have a big lack of foam (used for foot rests, padding, pool sessions etc.)If anyone has any foam or knows where we can get some it would be much appreciated!
Dates
The next committee meeting is provisionally set for June 1st at 6pm in the McAustland lounge (where the AGM was).
The next AU meeting is set for Tuesday May 2nd at 5pm in the McAustland lounge.
Training for the captain, treasurer and secretary will take place on 25th April (am or pm) in the Guild (this event can be attended by any committee member, please contact Vanny if you want to know more)

A list of all boats found in the private sheds was recorded today(29/03/05)
1. Check to see if your boat is on the list (scroll down)
2. Email Laura (medic dave) at fallingspiral@hotmail.com to
a) confirm details are correct for your boat
b)if you have not yet paid membership and would like to continue using the private sheds
c) recognise any of the boats and can identify their owner
The long debated storage problem of the private sheds has been discussed by the committee members. Currently there are too many boats and not enough space. During the committee meeting, it was agreed that: UNCLAIMED BOATS WILL BE REMOVED FROM THE SHEDS, and most likely be put up for sale on online auction. Up to one boat of each discipline (polo, slalom etc.) may be stored in the private sheds by each fully paid member. Boats must be used at least twice during a 6 month period unless there are extenuating circumstances (injury etc.) otherwise priority will be given to other members of the club. Unpaid members will be given last priority with regards to boat storage and run the risk of their boat being removed from the shed.
